Common questions from universities about how alumni tracking works.

No prior database or integration is required. The platform automatically identifies alumni who studied at your institution (including affiliated centers, filterable separately) by combining automated collection (public web sources and data partners) with AI-based processing and a verification layer.

Through multiple validation layers:

  1. Search by education, not name: Only profiles listing the institution in their academic history are returned.
  2. Institution name matching: Searches account for name variants and abbreviations.
  3. Deduplication: Duplicate or updated profiles are merged.
  4. Entity disambiguation: Graph-based analysis checks social connections, timeline consistency, and assigns a confidence (quality) score; anomalous profiles are flagged for review.
  5. Structured anchoring: Each profile is tied to a unique professional network ID, dated employment history, and specific institutions, making misidentification highly unlikely.

Two legal bases under GDPR Article 6:

  1. Legitimate interest (Art. 6.1.f)for enrichment and segmentation of public profiles.
  2. Contractual necessity (Art. 6.1.b)for delivering the service to the institutional client.

The legitimate interest basis is supported by a Legitimate Interest Assessment (balancing test), following the same methodology (EDPB, ex-Article 29 Working Party) used by other data-intelligence platforms. Key points from that assessment:

  • Only professional data is processed (employer, role, education) — no sensitive data (political views, religion, etc.) is inferred.
  • Data comes from sources (e.g., professional networking platforms) where individuals could reasonably expect indexing for professional purposes.
  • Safeguards include data minimization, defined retention, transparency about sourcing, and an accessible data-erasure mechanism.
  • Impact is assessed as low-to-medium, since most data is already public and the system does not drive automated decisions about individuals.

Security framework:

  • Technical controls: encryption in transit and at rest, role-based access control, logging/monitoring, secure cloud infrastructure.
  • Organizational policies: data protection by design (Art. 24), access/security controls (Art. 32), employee training (Art. 39).
  • GDPR documentation: privacy policy (Art. 12–14), Records of Processing Activities (Art. 30), DPAs with vendors (Art. 28), documented TOMs (Art. 32).
  • Governance: a Data Protection Officer (Art. 37) is in the process of being appointed.
